There are a dozen tools that will give your buyer a branded link instead of an email attachment. They are not interchangeable, and the price range is wider than most people expect — from free to $160 per user per month for essentially the same core job.

This guide compares eight digital sales room platforms using pricing published by each vendor, and says plainly where each one is the better buy. Kollab is our product; it is listed first and its limitations are listed alongside its strengths.

The Short Verdict

  • Small teams and startups: Kollab — free for ten workspaces, then $25 per user with AI included.

  • Complex enterprise deals: Aligned — deepest stakeholder intelligence, #1 on G2 for the category.

  • Teams that need e-signature in the same tool: GetAccept — native signing plus CRM sync.

  • Polished rooms with minimum setup: Trumpet — strong design defaults, generous free tier.

  • Proposal-led sales motions: Qwilr — best-in-class documents with payments built in.

  • Full revenue enablement, not just rooms: Dock — content library and onboarding portals in one platform.

  • Currently on Recapped: you need to move — it shuts down July 31, 2026.

Comparison at a Glance

Kollab — Free (10 workspaces), then $25/user/mo. Free tier includes AI generation, branding, analytics.
Aligned — Free (4 rooms/seat), Basic $35/seat, Pro $60/seat ($29/$49 annual), Enterprise custom.
Trumpet — Free (10 pods), Pro $45/user (max 5 users), Scale $100/user, Elite $160/user.
Flowla — Free (5 deal rooms), Pro $49/seat, Team $79/seat, Enterprise custom.
GetAccept — eSign $25/user, Professional $49/user (5-seat minimum, annual), Enterprise custom.
Qwilr — Business ~$39/user, Enterprise ~$59/user (10-seat annual minimum).
Dock — $350/month flat for 5 users, then $50/user.
Recapped — shutting down July 31, 2026. Not accepting new customers.

Every figure above came from each vendor’s own published pricing at the time of writing. Verify before you buy — this category changes fast.

1. Kollab — Best for small and mid-market teams who want AI included

Pricing: Free for up to ten workspaces. Pro is $25 per user per month. The MCP server is $25 per month per account.
Time to first workspace: minutes.

Kollab is deliberately narrower than the enterprise platforms in this list. It does the buyer-facing part of the deal — a branded workspace, a mutual action plan, your collateral, and engagement analytics — and leaves e-signature and CRM administration to the tools you already run.

The differentiator is what is included at the entry price. AI page generation writes interactive collateral (pricing tables, ROI calculators, security summaries) from a prompt, and it is on the free plan rather than reserved for a top tier. Most competitors put comparable AI two or three tiers up.

Strengths

  • Free tier covers ten workspaces with branding, action plans, embeds, two-way file sharing, and engagement analytics.

  • AI page generation included at the entry price, not gated to enterprise.

  • Interactive quotes with buyer-adjustable quantities and live-recalculating totals.

  • Engagement analytics down to a second-by-second visit timeline.

  • An MCP server, so an AI assistant can build and read workspaces directly.

Considerations

  • No native e-signature. Pair it with the e-sign tool you already use.

  • No content LMS or training modules — Dock covers that ground and Kollab does not.

  • Newer platform with fewer large-enterprise deployments than Aligned or GetAccept.

  • Free plan carries a “Powered by Kollab” badge; removing it requires Pro.

Disclosure: Kollab is our product. The considerations above are real ones, and the sections below describe where each competitor genuinely wins.

2. Aligned — Best for complex, multi-stakeholder enterprise deals

Pricing: Free Starter (four rooms per seat). Basic $35/seat/month, Pro $60/seat/month — roughly $29 and $49 on annual billing. Enterprise is custom.

Aligned is the most decorated product in the category, ranked #1 on G2 for both Digital Sales Room and Client Portal. Its AI is pointed at the deal rather than the page: stakeholder mapping, risk signals, and recommended next actions.

Strengths

  • Deepest AI deal intelligence in the category.

  • Bi-directional CRM sync with Salesforce and HubSpot on Enterprise.

  • Enterprise controls: SSO, multiple team workspaces, dedicated CSM.

  • A real free tier with no credit card.

Considerations

  • AI content generation sits on Pro at $60 per seat.

  • Free tier is limited to four rooms per seat.

  • More platform than a small team is likely to use.

3. Trumpet — Best for polished rooms with minimal setup

Pricing: Free (ten Pods, unlimited users). Pro $45/user/month but capped at five users. Scale $100/user/month. Elite $160/user/month.

Trumpet has the strongest design defaults in the category — its “Pods” look good with very little effort, and the free tier is genuinely usable with mutual action plans and 40+ integrations included.

Strengths

  • Excellent out-of-the-box visual quality.

  • Free plan includes mutual action plans and unlimited users.

  • E-signature, proposals, and Gong integration on Scale.

  • White-labelling and custom domains on Elite.

Considerations

  • The Pro tier caps at five users, so growing teams jump to $100 per user.

  • Elite at $160 per user is the highest per-seat price here.

  • AI tools are not available below Scale.

4. Flowla — Best for teams that want workflow automation

Pricing: Free Starter (five deal rooms, unlimited seats). Pro $49/seat/month. Team $79/seat/month. Enterprise custom.

Flowla positions across sales, customer success, and RevOps, with AI agents and automated workflows on its Team tier. Useful if you want the room to trigger process rather than just hold content.

Strengths

  • Free tier with unlimited seats.

  • AI agents and workflow automation on Team.

  • Covers post-sale use cases as well as pre-sale.

Considerations

  • Automation lives on the $79 tier.

  • Free plan is limited to five rooms.

5. GetAccept — Best when you need e-signature in the same tool

Pricing: eSign $25/user/month. Professional $49/user/month, billed annually with a five-seat minimum. Enterprise custom.

GetAccept started in e-signature and grew into digital sales rooms, which shows in the plan structure: the DSR and mutual action plan features are on Professional, not the entry tier.

Strengths

  • Native e-signature and eID verification.

  • CPQ and unlimited product library on Enterprise.

  • Deep CRM integrations including Salesforce, HubSpot, and Dynamics.

Considerations

  • Digital sales room features require the $49 Professional tier.

  • Five-seat annual minimum on Professional.

  • No free tier, and Professional requires a demo.

6. Qwilr — Best for proposal-led sales

Pricing: Business around $39/user/month; Enterprise around $59/user/month with a ten-seat annual minimum.

Qwilr is a proposal tool first. If your motion ends when a beautiful document is signed and paid for, it is excellent at that specific job.

Strengths

  • The best-looking proposals in this list.

  • E-signature and payment collection built in.

  • Interactive pricing inside the document.

Considerations

  • Document-centric rather than deal-centric — weaker for long multi-stakeholder cycles.

  • Ten-seat annual minimum on Enterprise.

7. Dock — Best for full revenue enablement

Pricing: $350 per month flat for five users, then $50 per additional user.

Dock is the broadest platform here: sales rooms, onboarding portals, a content library, and training modules, with an AI assistant across them.

Strengths

  • Covers pre-sale and post-sale in one system.

  • Content library and LMS included.

  • Flat pricing is predictable for a team of exactly five.

Considerations

  • $350 per month is the highest entry point here — expensive for a three-person team.

  • No free tier.

  • Broad scope means more to configure before value appears.

8. Recapped — Shutting down

Recapped closes on July 31, 2026 and is not accepting new customers. Its own site offers no migration guidance. If you are running deals through it, plan a move now rather than in the final week — we wrote a guide to replacing it.

How to Choose

By team size

  • 1–5 reps: start on a free tier. Kollab (10 workspaces), Trumpet (10 pods), or Flowla (5 rooms) all let you run real deals before paying.

  • 5–25 reps: per-seat cost dominates. At 15 users the spread is roughly $225/month (Kollab) versus $735 (Flowla Pro) versus $1,500 (Trumpet Scale).

  • 25+ reps with procurement: Aligned or GetAccept, where SSO and enterprise controls exist.

By what you actually need

  • Signature inside the tool: GetAccept or Qwilr.

  • Training and content library: Dock.

  • AI that writes your collateral: Kollab at the entry price, Aligned Pro, or Trumpet Scale.

  • Deal intelligence and stakeholder mapping: Aligned.

One principle worth holding onto: buy for the team you have now, not the one you plan to have. Most teams over-buy in this category and use a fraction of what they pay for.

Frequently Asked Questions

What is a digital sales room?

A single shareable web page holding everything a buyer needs to evaluate a deal — proposal, pricing, demos, and a shared plan — with analytics for the seller. See our full guide.

How much should it cost?

Entry pricing runs from free to $49 per user. Anything above $100 per user should come with capability you will genuinely use, such as enterprise controls or a content LMS.

Do buyers need an account to open one?

They should not. Any tool requiring your buyer to register before reading a proposal is adding friction at the worst possible moment.

Is a free plan enough?

For many small teams, yes. Check the workspace cap against how many live deals you run, and whether AI features are included or reserved for a paid tier.

What is a mutual action plan?

A shared list of milestones with owners and dates on both the buyer’s and seller’s side. It is the feature that separates a sales room from a file share, and it is available on most free tiers here.

Digital sales room vs client portal vs deal room?

Sales rooms are pre-sale, client portals are post-sale, and “deal room” often means an M&A data room. We pulled the differences apart here.

Can these replace my CRM?

No. The CRM records what happened for your team; the sales room is the surface your buyer uses. Most teams run both.

How long does implementation take?

The lightweight tools publish a first workspace in minutes. Broader platforms like Dock take longer because there is more to configure.

Which has the best analytics?

Most offer view counts. The useful metric is time per asset and a visit timeline — that is what tells you which stakeholder cares about what. Here is how to read those signals.

What happens to Recapped customers?

Recapped shuts down July 31, 2026 with no published migration path. Move active deals well before the deadline.

The Bottom Line

Most teams in this category are paying enterprise prices for the ten percent of features they use. If your deals genuinely need configurable quoting, bundled signature, or a training LMS, buy the tool built for that. If what you need is one clear place for the buyer and a signal telling you when to move, that should not cost $100 per seat.

Kollab is free for ten workspaces and $25 per user after that, with AI generation included. See pricing — no demo required.
