Most digital sales room tools have a free plan. Here's what free realistically covers, the limits that bite first, and when upgrading is genuinely worth it.

Most tools in this category now offer a free tier, which is genuinely good news — you can run a real deal through one before spending anything. The tiers are not equivalent, though, and the limits that matter are rarely the ones highlighted on the pricing page.

The Limits That Actually Bite

1. Number of workspaces

The most common cap and the easiest to reason about. Ask how many live deals you run at once — if the free ceiling is below that, you will hit it in week two. Kollab's free plan allows ten workspaces; Aligned's Starter tier works out at four rooms per seat.

2. Features held back for the paid tier

This is where free tiers differ most. AI generation in particular is often reserved for a higher plan — on some tools it sits two tiers up at $60 per seat. Check whether the capability you are evaluating the product for is actually in the free plan.

3. Vendor branding

Almost every free tier puts a powered-by badge on the buyer-facing page. Fine for testing, less fine when procurement is reading it.

What Free Should Cover

  • Custom branding, so the workspace looks like your company rather than a demo.

  • A real mutual action plan with owners and dates.

  • Engagement analytics — otherwise you cannot evaluate whether the thing works.

  • Embeds and file sharing, so you are testing with your actual collateral.

When Upgrading Is Genuinely Worth It

  1. You are running more live deals than the cap allows. The most honest reason.

  2. An enterprise buyer is in the room. Removing vendor branding stops being cosmetic when procurement and security are reading the page.

  3. You want the buyer talking inside the workspace. In-workspace chat keeps questions attached to the deal instead of scattered across inboxes.

How to Run a Fair Free Trial

Test on a real deal, not a sandbox. Build one workspace for an active opportunity, share it, and watch two things: whether the buyer returns to it unprompted, and what the engagement data says they actually opened.
